Answering a phone with scissors in your hand is rarely convenient. For a barber or salon, a voice agent can give callers a useful first response while the team stays with clients. The best starting point is a small set of everyday enquiries, with a clear path for requests that need a staff member.

Make your service menu understandable

A caller might ask for “a quick trim” while your booking system uses a more specific service name. Prepare plain-language descriptions, typical durations and approved prices. Explain which services require a consultation and avoid turning a starting price into a guaranteed quote.

For appointment requests, capture the service, preferred professional, date preference and callback details. If services have different lengths, that difference matters: a colour appointment cannot automatically use a haircut slot.

A call while the chair is occupied

Illustrative example:

Caller: “Could I get a haircut with Maya tomorrow after work?”

Agent: “What time would suit you, and is a haircut the only service you need?”

Caller: “Around six. Just a haircut.”

Agent: “I can pass on your request for Maya around six tomorrow. The salon will confirm the time.”

With a connected, authorized booking action, the agent may instead offer returned availability and confirm a successful booking. It should never assume a professional is free or substitute someone else without asking.

Handle changes with care

Explain the salon’s cancellation policy using approved information. Changing an existing booking requires the right booking identification and permissions; knowing a customer’s name alone should not expose their appointments. Complaints, requests for refunds and questions outside the menu need a human route.

Test background noise, unfamiliar service names and a caller who changes their mind halfway through. Ask whether the final message gives staff enough information to respond without repeating the entire conversation.
