A short rush can overwhelm an otherwise well-run reception desk. Calls arrive while staff serve customers, and people wait for the same basic answers. A busy-hour AI receptionist can handle a defined part of that workload, but the design needs to account for both call capacity and the work created afterward.

Choose the busiest repeat enquiries

Look at the reasons people call during a rush. Opening hours, directions, service questions and appointment requests may be good starting points. Choose one or two flows first. Keep questions short and avoid turning a simple enquiry into a long interview.

In Golub Voice, give the agent a concise role and approved answers. Route exceptions to the real team process. A caller who needs a person should not be forced through repeated questions just because the standard flow expects more fields.

Example: a quick answer and a request

Illustrative conversation:

Caller: “Are you open this afternoon, and can I come at four?”

Agent: “The business is open until six today. I can take a request for four, but availability needs confirmation. Which service would you like?”

This response separates a known fact from an unconfirmed appointment. If a connected booking tool can confirm the time, use its result; otherwise leave a clear request with callback details.

Capacity and follow-up both matter

Do not assume unlimited simultaneous calls. Confirm the capacity and routing supported by your plan and setup, and decide what callers hear if capacity is reached. Test the overflow path using an approved test environment.

Then check the other queue: messages waiting for staff. Ten captured requests still need an owner and a realistic response process. Look at unanswered enquiries, correctly captured details and time to human follow-up. Compare results with your own baseline before claiming an improvement.

For a useful trial, test a routine question, a request, an impatient caller and an unavailable human destination. Verify that people understand whether an action succeeded and what happens next.
